These Terms of Service apply to your use of romacafe.uk and purchases made through the Roma Cafe online store.

By placing an order, you agree to these Terms together with our Privacy Policy and Returns, Refunds & Replacements Policy.

Nothing in these Terms affects your statutory consumer rights.

"Roma Cafe", "Roma", "we", "us" and "our" refer to Roma Cafe Group Ltd.

Our website and E-commerce platform are provided using Wix. Purchases made through our store are made directly from Roma Cafe Group Ltd, not Wix.

2. Using our website

You may use our website for lawful purposes.

You must not:

  • attempt to gain unauthorised access to our systems;

  • introduce viruses, malware or harmful code;

  • use the website fraudulently;

  • impersonate another person or business;

  • misuse, scrape or interfere with our website in a way that infringes our rights or disrupts the service; or

  • use Roma Cafe content or intellectual property unlawfully.

We may restrict access where reasonably necessary to protect our customers, website or business.

3. Our products

We take reasonable care to ensure our product descriptions, photographs, prices and specifications are accurate.

Coffee is a natural agricultural product, so reasonable variations can occur between batches, including in:

  • appearance;

  • aroma;

  • flavour;

  • colour; and

  • bean size.

Tasting notes describe flavours and characteristics you may experience. A coffee described as having notes of chocolate, berries or caramel does not necessarily contain those ingredients.

For ingredients, allergens and other food information, please refer to the specific product information and packaging.

Nothing in this section affects your rights where a product is faulty, unsafe or not as described.

4. Allergies and product information

If you have a food allergy, intolerance or dietary requirement, please check the relevant product information before purchasing or consuming a product.

If anything is unclear, contact hello@romacafe.uk before ordering.

Do not rely solely on product names, tasting notes, photographs or lifestyle descriptions when determining whether a product is suitable for you.

5. Orders

When you submit an order, you are offering to purchase the products in your basket.

Please check your:

  • products;

  • quantities;

  • grind selection;

  • delivery details; and

  • contact information

before completing your order.

An automated acknowledgement or payment authorisation does not necessarily mean that we have accepted your order.

Unless we tell you otherwise, a contract is formed when we confirm that your order has been accepted or dispatched.

6. When we may decline or cancel an order

We may decline or cancel an order where reasonably necessary, including where:

  • a product is unavailable;

  • payment cannot be authorised;

  • we cannot deliver to the address provided;

  • there is an obvious pricing or listing error;

  • we reasonably suspect fraud or misuse;

  • fulfilling the order would be unlawful; or

  • circumstances outside our reasonable control prevent fulfilment.

If we cancel an order after taking payment and the cancellation is not caused by you, we will refund the appropriate amount.

7. Prices and payment

Prices are shown in pounds sterling (£) unless stated otherwise.

The total price, including any applicable delivery charge, will be shown before you complete your purchase.

We may change prices from time to time, but changes will not normally affect orders we have already accepted.

Payments are processed using Wix Payments and the payment methods available during checkout, which may include debit or credit cards, Apple Pay and Google Pay.

You confirm that you are authorised to use the payment method supplied.

8. Delivery

Available delivery options, charges and estimated delivery times will be shown on our website or during checkout.

Unless expressly stated otherwise, delivery times are estimates.

A dispatch timeframe describes when an order leaves us. It does not mean the parcel is guaranteed to reach you within that same period.

For normal consumer orders where we arrange delivery, responsibility for the goods generally remains with Roma Cafe until they come into your physical possession or the possession of someone you have nominated to receive them.

9. Incorrect delivery details

Please check your delivery address carefully.

If you identify an error before dispatch, contact us as soon as possible and we will try to update it.

Once an order has been dispatched, we cannot guarantee that the address can be changed.

If incorrect or incomplete information provided by you results in failed delivery, return to sender or the need to resend the parcel, we may charge reasonable additional delivery costs.

This does not apply where the delivery problem was caused by Roma Cafe or a carrier acting on our behalf.

10. Missing, delayed or damaged parcels

If your parcel is significantly delayed, lost, damaged or marked as delivered but cannot reasonably be located, contact:

Please include your order number.

We may investigate the circumstances with the delivery provider and request reasonable supporting information.

Where an order has genuinely been lost or damaged while responsibility remained with Roma Cafe, we will arrange an appropriate resolution.

11. Returns, cancellations and refunds

Our Returns, Refunds & Replacements Policy forms part of these Terms and explains:

  • change-of-mind cancellations;

  • return conditions;

  • faulty or damaged products;

  • coffee returns;

  • blend exchanges;

  • return postage;

  • refund timing;

  • brewing equipment;

  • bundles; and

  • delivery claims.

Where applicable, consumers generally have a 14-day right to cancel eligible online purchases.

Nothing in our returns policy or these Terms limits your statutory consumer rights.

12. Grind selection and personal taste

Please select the grind appropriate for your intended brewing method.

Different equipment, water, recipes and brewing techniques can produce different results, and we cannot guarantee a particular flavour, strength or extraction result from a grind selection.

Likewise, personal taste does not by itself mean that a coffee is defective.

If we supply a different product or grind from the one you ordered, we will deal with that under our Returns, Refunds & Replacements Policy.

13. Brewing equipment and bundles

Some Roma Cafe products may include brewing equipment such as French presses or stovetop brewers.

Please follow all manufacturer instructions and take appropriate care when using:

  • hot water;

  • glass;

  • pressure;

  • stovetops; or

  • hot surfaces.

If equipment is defective, unsafe or not as described, your statutory rights remain unaffected.

Where products are sold as a bundle, the relevant product page will state what is included. Returns involving bundles are handled under our Returns, Refunds & Replacements Policy.

14. Promotions and discount codes

Promotions may be subject to additional conditions such as:

  • expiry dates;

  • minimum spend;

  • eligible products;

  • geographical restrictions; or

  • maximum uses.

We may refuse a promotional benefit where we reasonably believe it has been used fraudulently or contrary to its stated terms.

Discounted and promotional products retain the statutory consumer rights that apply to them.

15. Reviews and customer content

If you provide Roma Cafe with a review, photograph, testimonial or other material for publication, you confirm that you have the right to provide it and that it is not knowingly false, unlawful or misleading.

Where content is submitted for publication or promotion, you grant Roma Cafe a non-exclusive, royalty-free right to use and reasonably adapt it for those purposes.

You continue to own your underlying content.

We may remove content that we reasonably consider fraudulent, unlawful, abusive or infringing.

16. Intellectual property

Unless stated otherwise, original Roma Cafe branding, logos, illustrations, photography, website copy, graphics, packaging designs and other original material are owned by or licensed to Roma Cafe Group Ltd.

You may use our website for ordinary personal purposes.

You must not reproduce, commercially exploit or falsely represent protected Roma Cafe material as your own without permission where permission is required.

Third-party intellectual property remains the property of its respective owners.

17. Privacy

We handle personal information in accordance with our Privacy Policy.

Our Privacy Policy explains what information we collect, why we use it, who we may share it with, how long it may be retained and your data-protection rights.

18. Website availability

We aim to keep romacafe.uk available and operating correctly but cannot guarantee uninterrupted access.

The website may occasionally be unavailable because of maintenance, security work, technical problems or circumstances outside our reasonable control.

Temporary website downtime does not affect rights that have already arisen under an accepted order.

19. Our responsibility to you

We do not exclude or limit liability where doing so would be unlawful.

Nothing in these Terms excludes or limits rights relating to matters including:

  • death or personal injury caused by negligence;

  • fraud or fraudulent misrepresentation;

  • faulty or defective products;

  • unsafe products;

  • goods that are not as described; or

  • other statutory consumer rights.

We are responsible for foreseeable loss or damage caused by our breach of contract or failure to use reasonable care and skill.

Where products were purchased entirely for personal consumer use, we are not responsible for purely business losses such as lost profit, lost revenue or lost business opportunities.

20. Fraud and misuse

We may reasonably investigate suspected:

  • payment fraud;

  • identity misuse;

  • fraudulent refund claims;

  • dishonest delivery claims;

  • abuse of discount codes;

  • abusive chargebacks; or

  • other misuse of our services.

Where appropriate, we may request supporting information, restrict an account or decline future orders.

We will not use this provision to deny genuine statutory consumer rights.

21. Business customers

These Terms are primarily designed for customers purchasing through our consumer online store.

Separate terms may apply to:

  • wholesale coffee;

  • workplace supply;

  • coffee machines;

  • equipment rental;

  • maintenance;

  • managed coffee services; or

  • other business arrangements.

Where a separate written business agreement exists, that agreement will govern the relevant business supply.

22. Changes to these Terms

We may update these Terms from time to time to reflect changes to our business, products, website, services or applicable requirements.

The current version will be published on this page with the date it was last updated.

Changes will not retrospectively remove rights that have already arisen under an accepted order.

23. Governing law

These Terms are governed by the laws of England and Wales.

If you live elsewhere in the United Kingdom, you continue to benefit from any mandatory consumer protections that apply to you.

Nothing in these Terms prevents a consumer from using a court they are legally entitled to use.
